2 System: everything pauses

System: one act writes the Lead status On Hold and the appraisal outcome Parked with the same reason and revisit date. The Land clock and last-progress ageing pause, stall rules and review checks skip Mill Pond, and it leaves the Primary and Secondary views and the carry-over. The revisit date becomes Jamie’s Next Action “Call the landowner once back from abroad”, due Mon 7 Dec. On the review the row moves to Parked with “parked · ageing paused” and the week’s “what changed” line; the Lead page shows “On Hold · clock paused” and “Parked · revisit Mon 7 Dec”.

3 Monday: the views leave Mill Pond out

Mon 9 Nov. Jamie opens the Weekly Regional Review again 1: Mill Pond stands under Parked with “No change while parked.” beside last week’s line, and the checks card reads “Sites on hold or Parked skipped”. Then Jamie opens the Morning Meeting 2; its footer names Mill Pond, On Hold · Parked since 2 Nov. No stall, clock or reminder event is raised for it.

4 Record a Lead lost to a competitor

Mon 9 Nov. On Leads Jamie opens Old Dairy, Hungerford 1, a Lead at Contacted with the overdue action “Call the landowner’s agent”. On the Lead page Jamie clicks the pre-instruction status Pending 2, chooses Lost to Competitor 3, picks the winning agent Kestrel Land Partners in the Agent select 4 and clicks Save 5. Save stays disabled until an agent is picked; the caption says “Lost to Competitor ends the Lead as Dead”.

5 The close panel

System, then Jamie: the status asks Site Lifecycle to close the Lead as Dead, and the close panel opens with Reason Dead set to Lost to competitor, one of the six seeded values. It lists the open action to be cancelled and the position “No Legals · no fee agreement · no fee to invoice”, which warns and never blocks. Jamie types the sentence 1 and the lessons learned 2, read-only after closing, and clicks Close as Dead 3.

6 System: the close event

System: Site Lifecycle raises the close event. The open action closes with the outcome cancelled and the closure as its reason; every clock, reminder and flag of the Site stops. Old Dairy is read-only with the badge “Dead · Lost to competitor” and the action struck through as “Cancelled · Site closed”. It leaves the live pipeline, and in Insights › Reasons behind the numbers, South & West, Land reads Lost to competitor 1 · Kestrel Land Partners, drilling down to Jamie Morgan and Old Dairy.

7 Find a closed Site

Tue 10 Nov. Rhys types “Mill Croft” in the search 1 and opens the Site result marked “Closed · Dead” 2. The Closed page of CE-009 shows outcome Dead, Reason Dead “No acceptable offer”, stage at close Legals, closed Mon 28 Sep 2026 by Dana Whitfield, 210 days from instruction to close, best offer £1,980,000 from Ashby Rural Housing, fee lost £76,000, the timeline and the lessons. Every tab is read-only.

8 Reopen with a reason

Rhys clicks Reopen 1, which only the MD has. The dialog says “Mill Croft returns to Legals, the stage it was closed at. Actions cancelled at closing are not restored.” Rhys types the reason 2 and clicks Confirm reopen 3, which stays disabled while the reason is empty.

9 System: the clocks restart

System: the reopen restarts what the close event stopped. The stage clock and last-progress date count from Tue 10 Nov; in Legals the days since and days open, the deal-clock display, the stall flag and the weekly chaser drafts run again, and the last contact, Ashby Rural Housing’s email of Fri 6 Nov, keeps the No contact rule quiet. The Closure record keeps its 28 Sep entry and gains the reopening reason; the two actions cancelled on 28 Sep stay cancelled. With no live action Mill Croft shows the stalled badge “In Legals with no named next action” and appears among the legal blockers on the Executive dashboard.

10 Name the next step

Rhys clicks Add action 1, types “Confirm Ashby Rural Housing’s board conditions” 2, sets Owner Dana Whitfield 3, Due Fri 13 Nov 2026 4, Priority Primary 5 and clicks Save 6. The action stands under Partnerships beside the cancelled ones, the stalled badge clears and Mill Croft is gone from the legal blockers.

11 Alternative: parked without a revisit date

Alternative: at step 1 Jamie leaves the Revisit date empty 1. The field shows the error “On Hold needs a revisit date” and Save 2 stays disabled; nothing is written.

12 Alternative: Parked refused for a role

Alternative: on the Weekly Regional Review Dana Whitfield opens the status menu of Kingsmead 1, an instructed Site that is Awaiting. Parked is shown disabled with “Only the regional lead, Jamie Morgan, sets or lifts Parked”; Active, Awaiting and Agreed stay Dana’s to set.

13 Alternative: the revisit date is reached

Alternative: Mon 7 Dec 2026. As Mill Pond’s primary relationship owner Jamie gets the revisit reminder in the notification centre 1, and by email or Teams by Jamie’s choice; the Next Action “Call the landowner once back from abroad” is due today. Jamie opens Mill Pond and sets the status back to Pending 2: “Clock running” again, the Lead back in the contact classes, the appraisal outcome no longer Parked and the change kept in the status history.

14 Alternative: no Reason Dead, or Other

Alternative: on an owner’s close, Close as Dead stays disabled while Reason Dead is empty. Jamie chooses Other in Reason Dead 1, which opens the required field “Write the reason” 2; while it is empty the refusal is named under it and Close as Dead 3 stays disabled. Nothing closes.

15 Alternative: closing cancelled

Alternative: at step 5 Jamie clicks Cancel 1 in the close panel. The panel goes and the Lead is unchanged: the status stays Pending and “Call the landowner’s agent” is still open.

16 Alternative: a closed Site cannot be edited

Alternative: on Mill Croft’s Closed page Dana Whitfield clicks into the lessons learned 1. Nothing becomes editable; the read-only state says “This Site is closed; only the MD can reopen it”.

17 Alternative: reopen refused for a role

Alternative: Sophie Brennan, Land owner of Mill Croft, opens its Closed page first. There is no Reopen button, only the line “Only the MD reopens a closed Site — Rhys Calloway”.

18 Alternative: reopening a Dead Lead

Alternative: on Tue 10 Nov Rhys reopens Old Dairy instead, with the reason “The landowner ended Kestrel Land Partners’ instruction and asked Valere to carry on”. The Lead is back at Contacted with its status reset to Pending; the earlier Lost to Competitor stays in the status history, and no action is restored.
